When this policy applies
This policy explains how we handle personal data when you:
- Visit getstrata.uk

Our role under data protection law
Our role depends on why personal data is being processed.
Parrot Media Limited acts as the data controller for personal data collected for its own purposes, including website enquiries, demonstration requests, customer administration, billing, product communications and business development.
When an installer uses Strata to store and manage information about its customers, leads, employees, contractors or suppliers, that installer is normally the data controller. Parrot Media Limited acts as the data processor, handling that information on the installer’s instructions and in accordance with our contract and data processing agreement.
If your information is held in Strata by one of our customers, you should contact that business directly in the first instance. We will support the business in responding where required.
Information we collect
Depending on how you interact with us, we may collect:
- Your name and job title.
- Your business name.
- Your email address and telephone number.
- Information included in an enquiry, demo request or correspondence.
- Information about your current business systems and operational requirements.

- Subscription, billing and payment records.
- Technical information such as your IP address, browser, device and pages visited.

We do not intentionally collect special-category personal data through the Strata marketing website. Please do not include sensitive personal information in the demo-request form.
Information processed through Strata
Businesses using Strata may upload or create personal data relating to their own customers, prospective customers, employees, salespeople, canvassers, fitters, subcontractors and suppliers.
This may include:
- Contact and property details.
- Lead, appointment and sales information.
- Quotations and contracts.
- Survey and installation records.
- Notes, documents and correspondence.
- Payment and invoice information.
- Service calls and guarantee records.
- Staff activity, scheduling and commission information.
The subscribing business determines why this information is collected and how it is used. Parrot Media Limited processes it to provide the Strata service on that business’s behalf.
How we use personal data
We keep contact form submissions for as long as is necessary to respond to your enquiry and for a reasonable period thereafter in case of follow-up queries.
We may use personal data to:

We do not sell personal data.
Our lawful bases
Depending on the circumstances, we rely on:
- Contract: where processing is necessary to provide Strata or take steps requested before entering into a contract.
- Legitimate interests: to respond to enquiries, manage customer relationships, operate and secure our service, improve Strata and promote it to relevant businesses.
- Legal obligation: where information must be retained or disclosed to comply with the law.
- Consent: where consent is required, including for certain forms of electronic marketing or non-essential cookies.
You can withdraw consent at any time where processing is based on consent.
Business development and marketing
We may obtain professional contact information from public or commercial business sources, including company websites, trade directories, Companies House, professional networking platforms and business-data providers.
We may use this information to contact relevant home-improvement and installation businesses where we believe Strata may be of legitimate interest to them.
Every marketing communication will provide a straightforward way to opt out. We will retain limited suppression information where necessary to ensure that someone who has opted out is not contacted again.
We will comply with applicable UK data protection and electronic-communications requirements.
Who we share information with
We may share personal data with trusted organisations that help us operate Strata and our business, including:
- Website hosting and contact-form providers.
- Cloud infrastructure and data-storage providers.
- Email delivery and communication providers.
- Payment and billing providers.
- IT support, security and software suppliers.
- Accountants, legal advisers, insurers and other professional advisers.
- Public authorities where disclosure is legally required.
These providers may only use personal data for the agreed service and must protect it appropriately.
When acting as a processor for a Strata customer, we only appoint sub-processors in accordance with our contractual and data-protection obligations.
How long we retain information
We retain personal data only for as long as it is needed for the purpose for which it was collected.
As a general guide:
- Website enquiries and demo requests are retained for up to 24 months after the last meaningful contact.
- Marketing records are retained until you opt out or the information is no longer relevant.
- Customer, subscription, contractual and financial records may be retained for up to six years after the relationship ends.
- Security and technical logs are retained only for as long as reasonably required to maintain and protect the service.
- Data held in Strata for a customer is retained in accordance with that customer’s instructions, our agreement and any applicable backup-retention periods.
Some information may be retained for longer where required by law, to resolve a dispute or to establish or defend a legal claim.
Cookies
The Strata marketing website currently uses only cookies or similar technologies that are necessary for the website and its forms to operate.
We do not currently use advertising or behavioural-tracking cookies. If non-essential analytics or marketing technologies are introduced, this policy will be updated and consent will be requested where required.
Security
We use reasonable technical and organisational measures to protect personal data against accidental loss, unauthorised access, misuse, alteration or disclosure.
Access to the Strata platform is restricted according to user accounts, permissions and business requirements. However, no online system can be guaranteed to be completely secure.
Your rights
Depending on the circumstances, you may have the right to:
- Request access to your personal data.
- Ask us to correct inaccurate or incomplete information.
- Request deletion of your information.
- Ask us to restrict how your information is used.
- Object to processing based on legitimate interests.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on consent.
- Complain to the Information Commissioner’s Office.
These rights are subject to certain legal conditions and exemptions.
To exercise a right relating to information controlled by Parrot Media Limited, email hello@getstrata.uk.
If your information has been entered into Strata by one of our customers, please contact that business first because it is normally the data controller.
You can also complain to the Information Commissioner’s Office through ico.org.uk.

We may update this policy when our services, suppliers or legal obligations change. The latest version will always be published on getstrata.uk with its updated date.
